The four HACCP records

These four records HACCP requires in daily kitchen work

Each record covers a mandatory area – here’s what belongs in it.

Temperature log

Refrigeration, freezer and hot-holding temperatures with target, actual and action – at least every working day.

Cleaning schedule

What, when, with what, how and who – plus proof the cleaning was done.

Goods-receipt control

Delivery, temperature, batch and anomalies at acceptance.

Structure

What belongs in a HACCP checklist

A HACCP checklist captures where hazards can arise in your processes and how you control them. It names the critical control points, their limit values and the checks – and doubles as evidence.

  • Critical control points: e.g. goods receipt, refrigeration, heating, hot holding, serving
  • Limit values per point: e.g. refrigeration no more than 7 °C, core temperature ≥ 70 °C, hot holding ≥ 65 °C
  • Checks: who checks, how often and with what
  • Corrective action in case of deviation
  • Evidence with date, reading and responsible person

You’ll find concrete setpoints per storage area in the temperature overview. See temperature monitoring

Ticking vs. automatic

Tick a checklist – or document automatically

Checklists and templates structure the duties. In day-to-day operations, however, seamless, audit-proof records are more reliable when temperatures are captured automatically.

With a paper checklist

  • Read and enter values by hand
  • Gaps at shift changes or during holidays
  • Searching and copying before an inspection

With Kibi Scada

  • Temperatures are captured automatically
  • Limit deviations report themselves
  • HACCP report as PDF at the touch of a button

FAQ

Frequently asked questions about the HACCP checklist

What must a HACCP checklist contain?

A HACCP checklist names the critical control points (e.g. goods receipt, refrigeration, heating, hot holding), their limit values, the checks (who checks what, how often), the corrective action for deviations and the evidence with date and responsible person.

What must a cleaning schedule under HACCP contain?

A cleaning schedule answers five questions: what is cleaned, when or how often, with what (agent and dosage), how (procedure) and who is responsible – plus proof it was done.

How often must a temperature log be kept?

In commercial kitchens, refrigeration and hot-holding temperatures should be recorded at least every working day; many businesses document morning and evening. It becomes more reliable and seamless when Kibi Scada captures the values automatically.

Is HACCP mandatory in Germany?

Yes. EU Regulation (EC) No. 852/2004 requires every food business to run a HACCP-based self-monitoring concept – from communal catering to large kitchens (only primary production is exempt).

What are the 7 principles of HACCP?

Hazard analysis, determine critical control points, set critical limits, monitor the control points, corrective actions, verification and documentation. Kibi Scada mainly supports principles 3 to 7 – from limit values through alerts to audit-proof documentation.

Are checklists enough to meet the HACCP obligation?

Checklists help structure the documentation. For seamless, audit-proof records across all shifts, automatic capture is more reliable – exactly what Kibi Scada provides with timestamps, limit alerts and reports at the touch of a button.
